Basic Guidelines for the Protection of Personal Information
The Hiroshima International Center (henceforth referred to as the gHICh) and all related officials and staff members, in recognition of the sensitive nature of personal data and in accordance with the proper execution of the facilities role, have set forth the following policies to insure confidentiality and the protection of individual privacy.
Regarding the collection of data:
During the collection of personal information:
- The purpose and nature of said data collection will be made clear,
- Scope of said data collection will be limited to necessary information only,
- Data collection will be conducted via fair and legal methods,
- As a general rule, data will only be collected from a 1st party, with said 1st partyfs permission.
As a general principal, information regarding personal ideology, creed, religion, or similar information often thought to be the source of discriminatory behavior/polices, will not be gathered.
Regarding information use and provision:
As a general principle, there will be no provision of personal information to other agencies, nor use of personal data for purposes other than those expressly stated.
Regarding appropriate data management:
- Appropriate measures for the prevention of leak or loss of personal data held by the HIC are in implementation,
- The HIC will endeavor to hold only accurate and updated information,
- Personal information held by the HIC deemed no longer necessary will be reliably and promptly destroyed / erased,
- HIC personnel charged with the handling and management of personal data will be managed properly and adequately.
Information entrustment:
In the event that data must be entrusted to outside organizations in the course of HIC activities,
measures will be taken for its appropriate management and protection.
Regarding the disclosure, correction, and cessation of use of personal data:
Requests by the 1st party (or legally appointed representative) for the disclosure, correction,
deletion, or complete suspension of use and/or provision of personal information will be responded
to promptly and appropriately.
Regarding organization and structure:
Both a personal information manager as well as a separate auditor will be appointed;
all personal information will be strictly and appropriately overseen.
Response to complaints, inquiries, etc.:
- In the event of a complaint or inquiry regarding the HICfs management of
personal data, all staff will strive to respond quickly and efficiently.
- For the preservation of an appropriate management system for personal data, the
revision of the HICfs privacy policies, including the principles outlined in this document,
will periodically occur.
- Measures will be taken for the establishment of a simple and precise system for requesting
that held personal data be disclosed, revised, or ceased to be used.
